In this article we describe the different roles an administrator can have in Easy LMS.

Easy LMS allows for three different administrator roles:



1. Global

A Global admin has all permissions in an Easy LMS account. With great power comes great responsibility!



The person who first registered the account, the account holder, will be a Global admin, and cannot be removed or edited.

The account holder can add additional admins.

If an additional Global admin is added, they will also have access to everything, including the ability to manage other admins. However, unlike the account holder, an additional Global admin can be removed and edited.

2. Academy

The Academy admin only has access to the Academy. This admin type can access everything within the Academy, including Groups, Participants, Results, and Styling.



2.1 When is this admin role useful?

If you provide learning services for clients, and you create the learning content.
If you are going to manage the Easy LMS account for your clients as a Global admin and your clients should be able to manage participants and results.
If you do not want your clients to be able to edit any content.

3. Academy groups

The Academy groups admin can be set up in two different ways. You can add one who has access to all groups in the Academy or add an admin who has access to specific groups in the Academy.



3.1 All groups

As an Academy groups admin (All groups), you can access all created groups in the Academy. This admin type can manage participants, learning content, and view the results of all groups in the Academy.

This admin can also create new groups.



3.2 When is this admin role useful?

If you want to separate Academy and content management from participant management.

Example: A learning manager sets up all learning content; IT sets up the Academy, and HR knows who needs which training. In this example, HR could be an Academy group admin (All groups).

3.3 Specific groups

By adding an Academy groups admin (Specific groups), you can restrict admin access to one or more groups. This admin type can only access groups that were assigned to him. As a Global admin, you can limit this admin's access in three different ways:

Allow this admin type to Manage participants
Allow this admin type to Manage learning content
Allow this admin type to View results

This admin type cannot create new groups.





3.4 When is this admin role useful?

If you want to be able to restrict admin permissions in the Academy
If you only want to allow an admin to manage specific Academy groups

Example: If you are part of a franchise organization or an organization with different departments, you can add store managers and heads of departments as an Academy group admin (specific groups). You can create a group per store, department, or franchise and assign one or more admins to each group.

Academy admins, and both Academy group admin types, cannot edit any content.

4. Restricted access

If an admin tries to land on a page he does not have access to (i.e., the global dashboard depicted in the first image), he will be denied access.
